Privacy policy

We only collect what we need to respond to your request, build your website and keep this site working. We do not sell data.

1. Who is responsible for your data

The data controller is SE-Optimizz BV, trading as WE-Optimizz®. 385-design is a service by WE-Optimizz®.

We are a small agency and have not appointed a data protection officer, as the GDPR does not require one for our activities. Please send privacy questions directly to the email address above.

2. What data we collect

When you send a request

Through the request form, we receive the details you enter: your name, email address, company name if provided, and message. We also store the features you selected in the calculator and the corresponding indicative price.

When you become a client

To build and maintain your website, we process the contact details of the people we work with, billing details and project content such as text and images.

When you visit the website

Our hosting provider records technical data such as your IP address, browser type, pages visited and time of access. This standard server logging is needed to keep the site secure and available. Section 5 explains what is stored in your browser.

3. Why we process data

  • To measure website and advertising performance, only with your consent
  • To meet legal obligations, such as accounting and tax requirements

We do not use automated decision-making or profiling with legal effects.

5. Cookies and measurement

Necessary. The website runs on the Base44 platform. This platform may store technical data in your browser that is necessary for the site to work. We also store your cookie choice in your browser so we do not have to ask again on every visit. No consent is required for this.

Statistics and advertising. You choose statistics and marketing separately in the cookie notice. Statistics measure visits and form interactions in our own Base44 environment. Marketing is for advertising measurement. Google Analytics, Google Ads and Meta Pixel are currently disabled. You can decline a category and continue using the website.

We measure which pages you view, whether you use the pricing calculator, open the request form or send a request. We never send the contents of your message to these services.

6. Who we share data with

We never sell personal data. We only share it with parties we need to carry out our work:

  • The platform hosting this website and storing your request (Base44)
  • Email, calendar and document tools (Google Workspace)
  • Calendly, when you book a call through our calendar
  • Accounting software and our accountant
  • Payment services, when you pay online
  • Google and Meta for measurement and advertising, only with your consent
  • Public authorities, when required by law

Some of these parties process data outside the European Economic Area, mainly in the United States. For this, we rely on an adequacy decision (such as the EU-US Data Privacy Framework) or the European Commission's standard contractual clauses.

7. How long we retain data

  • Requests that do not lead to a project: up to 24 months after our last contact
  • Client and project data: during our work together and for up to 5 years afterwards, to assist you and resolve disputes
  • Invoices and accounting: 7 years, as required by Belgian law
  • Server logs: up to 12 months

8. Your rights

Under the GDPR, you can ask us for:

  • Access to the personal data we hold about you
  • Correction of inaccurate or incomplete data
  • Deletion of your data if we have no reason to retain it
  • Restriction of, or objection to, processing
  • Transfer of your data in a usable format
  • Withdrawal of previous consent, without affecting processing already carried out

Send your request to barry@we-optimizz.com. We may first ask you to confirm your identity and will respond within one month.

If you believe we are not handling your data correctly, you can lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, gegevensbeschermingsautoriteit.be.

9. Security

This website is served over HTTPS. Access to client platforms and internal tools is protected with strong, unique passwords and two-step verification where supported. Only those who need the data for their work have access. If a data breach affects your rights, we notify you and the supervisory authority as required by the GDPR.

10. Changes

We update this policy when our services or the law change. The date at the top shows the latest version.
